I want to automate administrative processes, where do I start?

RPA technology is leading the digital transformation processes.

The automation of business processes, using RPA technology, allows a company to robotize actions commonly used with a computer, such as working with email, office tools, CRM, ERP, browsers and business management systems.

Its application focuses on very repetitive, standardized processes with a high manual workload since only in these cases does the cost savings generated justify the incorporation of this technology. These concepts are the basis for being able to address a process of robotization of management and administrative processes, but going from theory to practice can be complicated.

Any company has repetitive administrative and management processes with a high workload of people that can be robotized. Depending on the business, there will be more processes of this type in some areas than in others, but we can always robotize processes in the area of administration / finance, purchasing, HR, marketing and sales, customer service and internal IT services.

The question is: where do I start in my company?

First of all, I must identify processes that meet these characteristics and that, therefore, can be candidates for robotization. To do this, it will be necessary to carry out a “brainstorming” process within the company including all functional areas, since in all of them it is feasible to detect potentially robotizable processes.

Each area manager knows better than anyone else the processes that are executed under their direction and therefore, once they know the key criteria for robotizing processes, it will be relatively easy for them to identify processes that can be automated. With the proposals of each person in charge, an inventory of potentially robotizable processes will be made.

The next step will be to prioritize them, and to do so the “quick wins” criterion will be applied, that is, those processes whose robotization represents the greatest savings will be selected compared to the other candidate processes. The idea is that the relationship between investment in robotization and savings obtained is maximized. To do this, it will be necessary to estimate the time saved by robotizing a process and the effort invested in the robotization process.

It is possible that this last step will require the help of RPA specialists, who know how to accurately estimate the cost of documenting and robotic programming of the target process. In this way I will obtain a list of processes prioritized by economic return on investment criteria, from which we can get to work working on automating the first one on the list.

The automation of processes in a company represents an opportunity to rapidly advance its digital transformation strategy, achieving immediate savings that will improve its competitiveness and positioning in the market.
